Speaker instructions

You can download the speaker instructions via the button below. Please make sure to read these instructions carefully.

We have two modes of oral presentation:

Oral presentations during a symposium:
Oral presentations in a symposium should last 20 minutes (including 5 minutes for Q&A) each. Oral presenters are requested to not exceed their allocated time. The time schedule will be strictly followed due to the nature of the program.
Please check with your Chair the time allocated to you according to the number of presentations in your session.

Oral presentations during a combined session:
Oral presentations should last 15 minutes (including 5 minutes for Q&A) each. Oral presenters are requested to not exceed their allocated time. The time schedule will be strictly followed due to the nature of the program.

» It is very important to bring your presentation on a USB stick to the lecture room your session will take place in. The Chair will welcome you and you can check if your presentation works on the laptop provided by the organization.
As an oral presenter you should arrive in the room approximately 10 minutes before the start of the session.

PowerPoint Presentation Guidelines

Please make sure to download the PowerPoint format for making your presentation.
You can fill in the yellow marked words.

The following guidelines may be helpful for you to prepare an attractive presentation:
- do not put too much information on a slide,
- use a big enough font to make your slides well readable, and, finally,
- do not use too many slides, in other words that you spend enough presentation time for each slide.

Total space provision:          space for one poster sheet for each allocated poster presentation
How shall they be hung:      in vertical (portrait) direction
Format?                                  no specific format for poster layout (structure, content) is prescribed

Please add the ID number of your poster on the poster sheet, for example "#206", in the upper-right corner of the sheet.

Please note that materials to attach the posters to the poster boards are available at the venue.

You can see the poster programme here.

Chair instructions

Content and language
Speakers are fully responsible for the content of the presentation (order, graphics, etc.). All presentations and questions must be in English, as English is the official language of the conference. Please make sure all presenters in your symposium are present and know what is expected of them, regarding the time of  their presentation.

Please check the presentation formats and duration:
1 symposium with 4 speakers, or a combined oral session with 6 individual speakers. Both sessions take 90 minutes in total.

Oral presentations in a symposium should last 20 minutes (including 5 minutes for Q&A) each.
Oral presentations in a combined oral session should last 15 minutes (including 5 minutes for Q&A) each.
Oral presenters are requested to not exceed their allocated time. The time schedule will be strictly followed due to the nature of the program.

Some presenters have indicated that they can’t attend in person. They have sent in a video to show during their session. As the chair, please check if you have the video with you.

Main tasks as a session chair:
• Be available in the lecture room about 10 minutes before the beginning of the session to check if speakers are present and to give instructions and explanation of procedure to speakers;
• Check if their presentations are on USB and work on the computer;
• Introduce the speaker shortly (e.g. name, country, institute, short title);
• Keep track of time. Please make sure, be strict if needed, that speakers stay within their maximum allocated time;
• After completion of the presentation, call up for questions from the audience;
• Make sure that the question has been posed loud and clear, audible to everyone in the lecture hall. If this is not the case, then either ask if the question can be repeated or repeat the question for the audience yourself. Do the same as regards the answer by the speaker;
• Prepare a question yourself, just in case there are no (or not enough) questions from the audience.

Timewise handling of presentations
Please keep in mind that some time is needed for discussion, questions and for the change between presentations. We want to run the programme as smooth as possible and want to avoid shortening breaks and lunches as much as possible.

Assistance during sessions
If any problem occurs, please contact the organiser or technical staff. They will let the organisers know and can be of immediate assistance. Please do not try to fix (technical) errors or problems yourself as this may result in too much time loss.

  • The final programme will be online as of September 1st, 2022.
  • If you are a presenter in a symposium, workshop, oral presentation, or poster presentation, please make sure to register before this date to be guaranteed a spot in the programme.
